Land Title Package Statuses

This is a list of all of the statuses a package or documents in a package to the land title office may receive.

You can access the status of your package on the View All Packages or View Submission Dashboard pages. See Locate Packages.

You can access the status of each individual document in your package on the View Package page after you search and locate the package from either the View All Packages or Submission Dashboard pages.

Unsubmitted Package Statuses

Declined

If the package requiring preliminary inspection is not accepted by the registrar of land titles, a notice containing the reasons for refusal and LTSA contact information will be sent.

Rejection Notice

The View Package page will indicate that the submission is Declined. The Add button for corrective declarations is disabled for a Declined package. The document must be corrected and resubmitted as a new package.

The notice showing the reasons for declining to register and LTSA contact information will be sent to the submitter's myLTSA Inbox and email address if you have set up forwarding options. The Rejection Notice can be viewed by clicking the link to the package in View Notifications tab.

View Notifications

Deferred

If the package was submitted electronically, the package will be held in a status of Deferred. The package will be held in the submission queue, but not processed until 6:10 AM on the date you specify.

It is possible to alter this date or to change the status to Immediate or Deleted on the Submit Package to the Land Title Office page when viewing the package by clicking Edit Package. The status will immediately change from Deferred to Unsubmitted until you make your selection.

Deleted

When a package has been deleted by the user the status is deleted. The package cannot be viewed following the deletion.

Queued for Review

Applications accepted for preliminary inspection will be shown in the View Package and View Submission Dashboard pages as Queued for Review. Submissions shown as Queued for Review cannot be deleted and will be processed as received or declined following examination by the land title office during regular office hours. Submission of applications for Certificate of Pending Litigation, Caveats, Expropriation and accompanying plans and documents are examples of applications that follow this process. Submissions of this nature receive the following warning.

A Rejection Notice will be received where there is a problem identified in the application.

A Notice of Receipt with the application number, date and time will be sent when the package has been inspected and accepted by the land title office. The package status will be changed to Received and the submissions will be imprinted with the application number, time and date.

Applications submitted outside of normal business hours or on weekends will receive preliminary inspection on the next business day.

Received

When a package is successfully submitted on Immediate the status becomes Received for a moment. The status changes to Pending immediately following.

Rejected

A package fails validation and a rejection occurs when, upon submission, it is transitioned from Deferred to Submitted/Immediate, fails pre-screening (i.e., the package is Declined) or a corrective declaration or plan alteration fails validation upon submission.

A notice containing the reason of rejection will be sent. The document must be corrected and resubmitted as a new package. The notice showing the reasons for rejection will be sent to the submitter's myLTSA Inbox and email if you have set up forwarding options. The Rejection Notice can also be viewed by clicking the link to the package in View Notifications tab.

A package or part of a package that has encountered an unknown technical problem will receive a miscellaneous notification. Contact myLTSA Technical Support for assistance.

Submitted

The package will be submitted and processed as soon as you click Submit. The package status changes to Received immediately followed by Pending (estimated examination date) status when the screen has been refreshed.

Submissions that include transactions requiring preliminary inspection initiates the process for the entire package submitted. The package is accepted for preliminary inspection by the land title office and receives an information message describing the review process. An example of this message is shown below.

In a Meet, the Notice of Receipt, Acceptance Advisory and Notice of Registration is delivered to the Originator and all Participants. Other notices are sent to the Originator as the submitter and/or the Meet Contributor that the examiner directs. The notices are delivered to the myLTSA Inbox and email address if you have set up forwarding options. Notices are also shown in the package's View Notifications tab or by rolling over the Submission menu item and clicking View All Notifications. The Originator can elect to submit any Corrective Declarations on the entire package and pay the Defect Notice fee or each of the contributors can submit any corrective declaration on their own submissions.

A package that has been uploaded but not submitted to the land title office.

Submitted Package Statuses

Accepted

When a Property Transfer Tax form is submitted, its status changes to Accepted. This status does not change during the course of the package. A Declaration following the form it belongs to or a corrective declaration or a Strata Property Act filing form with a Form E attached related to the specific document after the package has been submitted attaches to the document it follows or is related to. The Accepted status does not update during the course of the package.

Defected

The status of the package or document within the package changes from Pending (Assigned) to Defected when the examiner sends a Defect Notice to the applicant.

Pending (estimated examination date)

A pending number is assigned when a document is submitted via EFS or presented to a land title office. The pending number is then attached to the parcel identifier (PID) for the property. As the name suggests, the nature of the document has not taken effect, but it is pending. While the package remains unassigned an estimated examination date will be shown.

If your package is pending, it may be assigned an estimated examination date on the View Package page of each package after it has been submitted until it has been assigned for examination.

Estimated examination date for a package is an approximation and should be used as a guide only. It does not guarantee examination timing nor does it indicate the time of registration. Once assigned for examination, the estimated date no longer appears in the Pending status and changes to Pending (Assigned). For more information, see "What is an estimated examination date?"

Pending (Assigned)

The status of the package or document within the package changes from Pending to Pending (Assigned) when the package has been assigned for examination.

Pending (On Hold)

The status of the package or document within the package changes from Pending (Assigned) to Pending (On Hold) when the examiner sends a Courtesy Notice to the applicant.

Completed Package or Document within the Package Status 

Completed (Registered)

An application (e.g., a Form A Fee Simple) changes to a Registered status when examination has been completed and the new interest in land has been registered. The package status changes to Completed (Registered) when all documents in the package have been completed.

Completed (Withdrawn)

A document or package status changes to a Withdrawn status when the land title examiner has completed a request from the applicant to withdraw one or all documents within a package.

Completed (Cancelled)

A document or package status changes to a Cancelled status when the land title examiner cancels one or all documents in a package where a Defect Notice has been sent and subsequently expires without being remedied by the applicant.

Completed (Filed)

An application or a plan changes from a Pending (Assigned) status to a Filed status when examination has completed registration of the application or new plan.
